Exporting Data from OH, Cincinnati - Rappattoni

Note: Before you are allowed to export data from your MLS, you must first contact your MLS to get the export functionality turned on for you.  You may be required to attend a short class as part of the ‘turn on’ process.

Using the Custom Export Manager to setup the Export Format

Before you can export data, you must first setup the Export format.  This is a one time action that you will need to do.  The format must be setup as shown in this section for the Focus 1st application to understand the format.

Using the “Admin” menu, select the “Custom Export” option.  When you select the “Custom Export” option you will see a screen similar to that shown above.  Then select the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image004.jpg button.  Once you’ve pressed the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image004.jpg button you will see a dialog box as shown below.

First place the name “Focus 1st” as the “Name” as shown above.  Then verify that the File Format is “Excel (*.csv)” and that “Yes” in selected under the “Include Field Names” option.   “No” should be selected under the “Include Pictures” option.  Then press the “Save” button.  Once you press the save button you will see a dialog box similar to that shown below.

Then you will need to define the fields to be in the new Custom Export.  To define the fields, select a field from the left table (shown as “Available Fields” and press the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image011.jpg key.  You will see the item move to the “Selected Fields” table on the right. 

Do this for each of the fields as shown below. 

Note: Be sure that you create the column with all of the items shown below.

Address – Zip Code

Age

Bathrooms

Selling Date

Bedrooms

ML_Number

Listing Price

Original Listing Price

Selling Price

Status Date

Status Desc

Subdivision

Once you have completed the task above, save the results by pressing the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image013.jpg (“Save”) button.  You are now ready to do your MLS search and export your results. 

Rappattoni

In selecting data from Rappattoni, be sure to select the options below:

Make sure that all the status options are selected.  This option will make sure that all the data that is needed to create the appropriate graphs, is collected.  

You should also make your normal selection choice by selecting other options that you would normally select in doing a CMA.  As mentioned earlier, looking at activity in specific subdivisions is a good starting point. 

To avoid downloading unnecessary data, you may select only recent data.  One suggestion is to select data that has had a "Selling Date" within the last 2 years.   

Once you’ve selected the search criteria, press the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image017.jpg (“Search”) button to see the results as shown below.  To download the results, select the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image019.jpg (“Export”) button. 

When you select the Export button, the dialog shown below is displayed.  Select the “Focus 1st” option and then press the Description: C:\Users\Tim\Documents\My Dropbox\Focus1st\Software\MLS Export\ExportingDatafrom OH, Cincinnati, Rapattoni_files\image021.jpg (“Submit”) button.

Next you will see the screen shown below.  Click the file name to download the results.

When you click the filename you will be asked “Do you want to open or save this file?”

Select the save option and then choose a file name. 

Be sure to remember where you save your file.  This is the exported file that will be used to create your graphs. 

Once you have saved your exported file, you are ready to run the application. 

When you run the application you will need to find the exported data file, so be aware of where the file has been placed.   It may make sense to move the file to a location that is easier to access.
